37. Detailed Processing Purposes and Conditions
Account administration
We process registration and authentication information to create Accounts, authenticate access, maintain security, recover access and administer requested features.
Enquiry handling
We process contact and property requirement information to respond to questions, connect the User with relevant Developers or Builders, provide requested information and arrange next steps.
Recommendations
We may compare stated property criteria with Platform information to surface potentially relevant Projects. Recommendations are not decisions about a User’s eligibility for credit, insurance or other regulated services.
Transaction facilitation
We process Booking information to coordinate the transaction, communicate with the Developer or Builder, maintain an audit trail and provide customer support.
Promotion administration
We process information necessary to determine whether an Offer, Reward or Discount applies, prevent duplicate or fraudulent claims and arrange fulfilment.
Security and fraud prevention
We analyse technical and behavioural signals and relevant Account activity to detect unauthorised access, abuse, suspicious transactions and manipulation.
Legal compliance
We maintain and disclose records where necessary to satisfy legal, regulatory, court or law-enforcement requirements.
Business operations
We analyse usage, diagnose defects, maintain systems, measure service quality and improve the Platform.
38. Detailed Data Sharing Rules
Minimum necessary disclosure
FlatDeal seeks to share only information reasonably necessary for the stated purpose, subject to operational and legal requirements.
Developer / Builder disclosure
Information is shared when necessary to respond to an enquiry, arrange a site visit, confirm availability, process a Booking or fulfil the underlying transaction.
Service provider disclosure
Vendors may receive information necessary to provide hosting, analytics, communications, support, security, CRM, technical and related services.
Promotion fulfilment disclosure
A supplier may receive relevant contact and fulfilment information where required to deliver a qualifying promotional benefit.
Legal disclosure
Disclosures may be made where required or permitted by law, court order, regulator, law-enforcement request or to protect rights and security.
Corporate disclosure
Information may transfer as part of a permitted corporate transaction, subject to applicable law.
39. Data Accuracy, User Duties and Correction
Users should not knowingly provide false, misleading or outdated personal information. Where a User discovers a material inaccuracy in an Account or enquiry record, the User should use available account controls or contact FlatDeal.
Where information about a Property requirement has become obsolete, FlatDeal may continue to retain historical enquiry records where reasonably necessary for audit, security, dispute or legal purposes even after the live preference is changed.
40. Consent, Withdrawal and Consequences
Where processing requires consent, FlatDeal will seek consent through a reasonably clear mechanism and maintain evidence of the choice where appropriate. Consent may be withdrawn through available controls or by contacting FlatDeal.
Withdrawal of consent may prevent FlatDeal from continuing services that depend on the relevant processing. It does not invalidate processing already lawfully undertaken before withdrawal.
Where another lawful basis applies, withdrawal of consent may not require cessation of that separate processing, subject to applicable law.
41. Data Subject / User Request Procedure
A privacy request should identify the User, describe the request clearly, identify the relevant Account or communication channel where possible, and provide sufficient context to enable FlatDeal to locate the relevant information.
FlatDeal may request reasonable verification information. This is a security measure intended to prevent an unauthorised person from obtaining, modifying or deleting another person’s information.
FlatDeal will respond within the timeline required by applicable law. Where law permits refusal, limitation or postponement, FlatDeal may apply that exception and explain the basis to the extent required.
Where information has been shared with a Developer or another independent party, FlatDeal may not be able to alter or delete the third party’s independently maintained records; the User may need to exercise rights directly with that party.
42. Data Retention Schedule Principles
Retention is determined by purpose, legal requirements, transaction lifecycle, security needs, dispute periods and operational necessity. Active Account information is ordinarily retained while the Account is active. Enquiry and Booking records may be retained for longer because they may be relevant to transaction attribution, customer support, disputes, accounting, fraud prevention or legal compliance.
Security and access logs may be retained for periods appropriate to investigation and security needs. Marketing preference records may be retained to demonstrate and honour a User’s opt-out or consent status.
43. Access Controls and Internal Handling
FlatDeal seeks to limit access to personal information to personnel, contractors and service providers who need the information for their authorised work. Access may be based on role, operational necessity, security controls and contractual obligations.
FlatDeal may log access, changes and administrative events where appropriate to maintain security and accountability.
44. Data Breach Response
When FlatDeal becomes aware of a suspected or confirmed personal-data incident, it may take immediate steps to contain the incident, preserve relevant logs, assess affected information, investigate the cause, remediate vulnerabilities and determine whether notification is legally required.
Where notification is required, FlatDeal will make the required notifications within the period and in the manner required by applicable law. The content of any notification may depend on what is known at the time.
45. Children and Age-Related Processing
The Platform is intended for adults. If FlatDeal becomes aware that personal information has been collected from a child in circumstances where processing is not permitted, FlatDeal may take steps to delete or restrict the information, subject to legal and operational requirements.
Where applicable law requires verifiable consent or additional safeguards for children, FlatDeal will implement those requirements for the relevant processing.
46. Automated Tools and Recommendations
FlatDeal may use automated technical systems to sort, rank, filter or recommend Projects based on criteria supplied by a User. Such tools are intended to support discovery and convenience. They do not constitute an independent determination of a User’s creditworthiness, legal capacity, financial eligibility or investment suitability.
